Executive Director
Scope of Work
The contracted candidate will be a person with a minimum of 3 years of experience in working with children with special needs. They will exemplify strong leadership, organizational, communication (both verbal and written), and mentoring skills. The Executive Director will respect all staff, volunteers, participants, families, horses, and community members regardless of ability and will make Inspiration Stables a welcoming place for all. They will always work primarily in advancing and fulfilling the mission of Inspiration Stables.
Preferably, the Executive Director will be a person with a minimum of 10 years of extensive and varied horse handling, training, and managing experience who has instructed lessons previously.
Primary responsibilities include, but are not limited to:
• Management of all horse care routine and emergent including feed, deworming, farrier, veterinary care, exercise program, workload evaluation, pre-session evaluation
• Volunteer Management:
o New volunteers:
▪ Discussing program, scheduling, and answering questions of potential volunteers
▪ Handling all paperwork in getting a new volunteer enrolled
▪ Coordinate and execute all volunteer training (both horse leader and child mentor)
▪ Communicate expectations and review policy and procedure
▪ Enter all data related to new volunteer in Salesforce
▪ Proactively work with community partners to continually bring in potential volunteers and market our program as a volunteer opportunity
o All volunteers:
▪ Schedule all volunteers based on availability, child or horse preference, ability and skill
▪ Handle any disciplinary situations regarding policy violation or support instructor in volunteer education in handling particular horse or child
▪ Develop and maintain rapport with volunteer to keep them engaged in the program and address any concerns they may have
▪ Handle volunteer cancellations and emergency scheduling needs
▪ Coordinate volunteer appreciation event along with awards and prizes, bring treats for volunteers occasionally, send “thank you” messages, etc.
▪ All documentation regarding volunteer in Salesforce
▪ Ongoing training
• Program Management:
o Scheduling all lessons with families
o Assigning instructors for each lesson
o Collaborating with the team on needs for each participant/lesson
o Scheduling all horses for lessons
o Primary point of contact for families
o Responsible for all communication with families
o Conducting participant coordination meetings for new participants
o Working with families to establish goals at the start of each session
o Providing goal reports and rider evaluations to families at the end of each session/year
o Approving lesson plans
o Developing and continually improving the documentation process for lesson planning and session notes
o Mentoring new instructors
o Communicating thoroughly and effectively with all team members and families
o Maintaining all records in regards to participants in accordance with PATH, Intl. Standards in conjunction with our Administrative Assistant
o Maintaining and surpassing all expectations of excellence for the operation of the organization and all those who interact with Inspiration Stables
• Financial:
▪ Account for all in-kind donations
▪ Maintain inventory
▪ Establish and propose annual budget
▪ Manage monthly expenses against budget
• Board of Directors:
▪ Attend all meetings
▪ Write agenda
▪ Provide Executive Director report
▪ Follow through on any action requested by the board
• Grants:
▪ Seek grant opportunities
▪ Write and submit all grants
• Fundraising in conjunction with board subcommittee:
▪ Write, print, mail, address and send annual appeal letters twice a year
▪ Coordinate annual fundraiser
▪ Meet with community members to share our mission and request support
▪ Develop marketing/sponsorship program to present to potential business sponsors
▪ Design, print, write, address and send Christmas card to all donors, families, key partners, etc.
• Community Outreach:
▪ Make presentations to local service groups about our program to request support either financial or volunteer
▪ Build relationships with other community organizations for referrals, volunteers, etc. (Hills and Dales, Resources Unite, etc.)
▪ General marketing efforts to share our program with the community (i.e. communications with the local school districts, other providers, etc.)
• Miscellaneous:
▪ Manage development of our Salesforce software system and corresponding training for all staff and volunteers
▪ Ongoing policy and procedure review and revision
▪ Ongoing forms review and revision
▪ Manage all special projects (i.e. video, construction, marketing, special volunteer groups, etc.)
▪ Liaison with property lessors
▪ Train all new staff or interns
Compensation commensurate with experience. On-site living is an option but not required. Horse boarding available. Support for ongoing education as well.
